Privacy Policy for Refyn

This Privacy Policy explains how Refyn ("Refyn," "we," "us," or "our") handles information when you use the Refyn mobile application (the "App").

Refyn is a receipt-scanning and receipt-management application designed to help users capture receipts, extract structured receipt information, organize records locally on their device, review spending history, manage category budgets, and export or back up those records when they choose.

1. Scope

This Privacy Policy applies to information processed through the App. It does not apply to third-party services, websites, or applications that may be linked to, integrated with, or used alongside the App, including third-party AI providers, email providers, cloud backup destinations, and sharing destinations selected by you.

2. Information the App Processes

Depending on how you use the App, Refyn may process the following categories of information:

A. Receipt and document content

• Photos or images of receipts that you capture with your camera or select from your device
• Information extracted from those images, such as merchant name, store name, city, country, currency, payment method, receipt number, receipt date, receipt time, subtotal, VAT amount, discount total, total amount, confidence score, and line-item details
• The original image path or stored file reference associated with a receipt
• Any edits or corrections you make before saving a receipt

B. Budget, settings, and preferences

• Category budgets, spent amounts, currencies, and budget periods you create in the App
• Your selected language and theme preferences
• Your selected AI model and AI thinking-level configuration
• Your Google Generative Language API key, if you choose to enter one in the App
• App settings used to support local functionality

C. Export, email, and backup data

• Export files generated inside the App, including CSV, JSON, and PDF exports
• Email draft content generated at your request for receipt reports
• Backup archives created at your request, which may include receipt records, receipt images when available, category budgets, and app settings

D. Device permissions and related access

The App may request access to:

• Camera, to capture receipt images
• Photo library, media library, or file storage, to select receipt images, save attachments, import backups, or share exports
• Network access, to communicate with the AI service you configure or use through the App

3. How We Use Information

The App uses information to:

• Capture and process receipt images
• Send selected receipt images and extraction prompts to the AI provider used by the App so the App can extract structured receipt data
• Let you review, edit, save, organize, and delete receipt records
• Store and display receipt history, dashboard summaries, and category budget progress inside the App
• Generate exports, backups, and email drafts at your request
• Save your preferences and selected configuration
• Maintain app functionality, reliability, and user-requested features

4. Local-First Processing

Refyn is designed as a local-first application.

Receipt records, extracted fields, receipt images, category budgets, app settings, and related data are stored locally on your device unless and until you choose to export, share, back up, email, or transmit them through a third-party service.

At the time of writing, Refyn does not include a custom developer-operated cloud backend for storing your receipt records.

5. Third-Party AI Processing

If you use Refyn's AI receipt parsing features, the App sends the selected receipt image and an extraction prompt to the Google Generative Language API, using either:

• the API key you provide in the App, or
• a built-in API key configured by the developer, if one is made available in the App build you use

This means that receipt images and related prompt content are transmitted to Google for processing when you choose to run AI parsing. Google may process that information in accordance with its own terms and privacy policies. We do not control Google's independent privacy or data handling practices.

You are responsible for reviewing the terms, privacy disclosures, retention practices, and regional transfer practices of any third-party AI service you choose to use with the App.

6. Sharing of Information

We do not sell your personal information.

We do not share your receipt data with third parties except in the following circumstances:

• With Google, when you use AI parsing features
• With your chosen email, sharing, storage, or file destination when you export, share, back up, or email data using device or third-party tools
• When disclosure is required by applicable law, regulation, legal process, or enforceable governmental request
• To protect rights, safety, security, or the integrity of the App, where permitted by law

7. Data Retention

Because Refyn primarily stores data locally on your device, retention is generally controlled by you.

Data remains stored until you delete it from the App, remove the App, delete local files, overwrite your device, clear local app data, or restore/replace data through backup and import actions.

Backup archives, export files, and email drafts created by you may remain in the selected device location, temporary storage, email drafts, cloud services, recipient systems, or third-party apps until you delete them.

If you enter an API key into the App, it may remain stored locally until you change or delete it, remove the App, import replacement settings, or clear the App's local data.

8. Data Security

We use reasonable measures within the App's design to support the security of locally stored information and transmitted requests. However, no method of local storage, device security, transmission over the internet, or third-party processing is completely secure.

You are responsible for:

• Securing access to your device
• Managing any third-party accounts or API credentials you use with the App
• Reviewing exported files, backups, and email content before sharing them

If your receipts contain sensitive personal, financial, or merchant-related information, you should use the App carefully and only transmit data when necessary.

9. Your Choices and Controls

You can generally control your data by:

• Choosing whether to grant camera, photo, media, or file permissions
• Choosing whether to use AI receipt parsing features
• Choosing whether to enter, change, or remove your API key
• Editing or deleting receipt records inside the App
• Deleting local backups, exports, drafts, and shared files
• Clearing local app data, importing replacement data, or uninstalling the App, subject to your device settings

10. Children's Privacy

Refyn is not directed to children under 13, and we do not knowingly design the App to solicit personal information from children. If you believe a child has provided personal information through the App in a way that creates a legal obligation for removal, contact us using the details below.

11. International Transfers

When you use third-party AI, email, sharing, or storage services, your data may be transmitted to and processed in countries other than your own, depending on the infrastructure and policies of those providers. Those transfers are governed by the third party's terms and privacy practices, not this Privacy Policy alone.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we do, we will revise the "Effective date" above. Your continued use of the App after an updated Privacy Policy becomes effective means the updated version will apply to your use of the App, to the extent permitted by law.
